  • Director of Marketing

Take ownership of XTru’s marketing strategy, creative direction, campaigns, and market presence — a hands-on leader who builds the plan, leads the team, and jumps in to get great work across the finish line.

    • Marketing
    • Full-Time
    • Director
    • San Antonio, Texas — In Office
    • Reports to Executive Leadership

    About XTru

XTru develops technology that helps museums, attractions, nonprofits, and other visitor-serving organizations improve the guest experience. Our platform includes ticketing, memberships, CRM, digital passes, fundraising, guest engagement, and related solutions.

We are growing quickly and are looking for an experienced, hands-on Director of Marketing to take ownership of our marketing strategy, creative direction, campaigns, and overall market presence.

This is not a role for someone who only wants to manage agencies, review reports, or provide high-level strategy. We are looking for a marketing leader who can build the strategy, lead the team, and personally jump in when needed to get great work across the finish line.

    What you'll own

The Director of Marketing will lead the overall marketing function at XTru and will be responsible for how our company, products, and brand are presented to both prospects and existing customers.

You will work closely with executive leadership, sales, product, and customer-facing teams to create marketing that is polished, effective, consistent, and measurable.

    Brand & creative

    • Own and continuously improve the XTru brand and visual identity.
    • Establish standards for marketing collateral, presentations, digital campaigns, website content, and customer communications.
    • Oversee the creation of sales decks, one-sheets, brochures, case studies, product sheets, graphics, videos, and other collateral.
    • Ensure XTru presents a professional, modern, and consistent image across every customer touchpoint.
    • Provide creative direction while also being comfortable personally editing or producing marketing materials when needed.

    Campaigns & demand generation

    • Develop and execute integrated marketing campaigns that generate awareness, engagement, demos, and sales opportunities.
    • Create campaigns around product launches, new features, customer success stories, industry trends, webinars, and company announcements.
    • Build email marketing, nurture, lead-generation, and customer engagement programs.
    • Work closely with sales to ensure campaigns support actual pipeline development and revenue goals.
    • Develop strategies for reaching both new prospects and existing customers.

    Product marketing

    • Develop clear positioning and messaging for XTru products and solutions.
    • Translate technical product capabilities into compelling customer-facing benefits.
    • Create launch plans for new products and features.
    • Work with product and sales teams to identify competitive differentiators.
    • Develop sales enablement materials that help the sales team communicate XTru's value effectively.

    Website & digital marketing

    • Own the marketing strategy and content direction for xtru.com.
    • Ensure website content remains current, compelling, and optimized for conversion.
    • Oversee landing pages, campaign pages, forms, and other digital marketing assets.
    • Manage SEO, paid marketing, social media, and other digital channels where appropriate.
    • Track website performance and identify opportunities for improvement.

    Webinars & customer marketing

    • Develop a regular calendar of webinars, town halls, product demonstrations, and educational content.
    • Manage webinar promotion, registration campaigns, reminders, and post-event follow-up.
    • Identify opportunities to showcase customers, customer success stories, and industry thought leadership.
    • Develop communications that keep current customers engaged with new XTru capabilities.

    Leadership & team development

    • Lead and develop XTru's marketing team.
    • Provide clear priorities, assignments, deadlines, and feedback to junior marketing staff.
    • Manage the Events & Field Marketing function.
    • Coordinate freelancers, agencies, designers, videographers, and other outside resources when needed.
    • Establish processes that allow the department to operate efficiently and consistently.

    Planning & measurement

    • Develop an annual marketing strategy, calendar, and budget.
    • Establish meaningful marketing KPIs and regularly report results to leadership.
    • Measure campaign performance, lead generation, event performance, engagement, and marketing-influenced pipeline.
    • Continuously evaluate what is working and adjust strategy accordingly.

    What we're looking for

    • Approximately 7–12+ years of marketing experience, preferably in B2B technology, SaaS, software, attractions, nonprofit technology, hospitality technology, or a related field.
    • Prior experience managing a marketing function, team, or significant area of responsibility.
    • Strong portfolio demonstrating high-quality campaigns, collateral, presentations, product marketing, digital marketing, or brand work.
    • Excellent written communication and storytelling skills.
    • Strong visual judgment and a clear understanding of what makes marketing look professional and effective.
    • Experience building and executing multi-channel campaigns.
    • Experience working closely with sales teams.
    • Comfortable working in a fast-moving environment where priorities can change quickly.
    • Strong project management skills and attention to detail.
    • Willingness to personally execute work rather than simply delegate it.

    Tools & skills

Experience with several of the following is preferred:

    • Adobe Creative Suite, Figma, or Canva
    • PowerPoint or similar presentation software
    • Mailchimp, HubSpot, or similar email/marketing platforms
    • CRM and marketing automation tools
    • Google Analytics and digital advertising platforms
    • WordPress or similar content management systems
    • Webinar and virtual event platforms

    What success looks like

Within the first year, we expect the Director of Marketing to:

    • Establish a consistent and significantly improved XTru brand presence.
    • Modernize our primary sales and marketing collateral.
    • Create a repeatable marketing campaign calendar.
    • Establish a formal product launch process.
    • Improve coordination between marketing and sales.
    • Build a consistent webinar and customer communication program.
    • Develop measurable demand-generation programs.
    • Improve the effectiveness and organization of the marketing team.
    • Give leadership clear visibility into marketing performance and ROI.

    Who will thrive here

You will probably enjoy this role if you like building things.

XTru is not looking for someone to maintain a large, mature corporate marketing organization. We want someone who sees opportunity, identifies what is missing, creates a plan, and then helps make it happen.

If you are equally comfortable discussing marketing strategy with company leadership and opening a presentation five minutes later to fix a slide yourself, you may be a great fit.

  • Events & Field Marketing Manager

Own XTru’s conference and event program from booth contracts and freight through pre-show marketing, on-site execution, lead capture, follow-up, and ROI.

    • Marketing
    • Full-Time
    • Manager
    • San Antonio, Texas — In Office
    • Reports to Director of Marketing
    • Regular travel required

    About XTru

XTru develops technology that helps museums, attractions, nonprofits, and other visitor-serving organizations improve the guest experience. Our platform includes ticketing, memberships, CRM, digital passes, fundraising, guest engagement, and related solutions.

Industry conferences and trade shows are an important part of how we meet customers, introduce organizations to XTru, and strengthen relationships throughout the markets we serve.

We are looking for an Events & Field Marketing Manager who can take complete ownership of our conference and event program — from booth contracts and freight to pre-show marketing, lead capture, follow-up, and ROI.

    The role

This position is much more than event coordination.

You will own the entire lifecycle of XTru's trade shows, conferences, sponsorships, customer events, and field marketing initiatives.

Your job is not simply to make sure the booth arrives on time.

Your job is to make sure that if XTru spends $30,000, $50,000, or more attending an event, we have a clear plan for turning that investment into customer conversations, qualified opportunities, stronger relationships, and measurable results.

    Trade shows & conferences

    • Manage XTru's annual schedule of industry conferences, conventions, trade shows, and sponsorships.
    • Coordinate booth reservations, exhibitor contracts, sponsorship opportunities, registrations, and deadlines.
    • Maintain a master event calendar and ensure critical deadlines are never missed.
    • Coordinate directly with conference organizers and vendors.
    • Identify opportunities to improve XTru's presence and visibility at key events.

    Booth & event logistics

    • Manage booth inventory, displays, signage, furniture, equipment, demo devices, promotional materials, and supplies.
    • Coordinate booth shipping, freight, drayage, electrical, internet, material handling, and venue services.
    • Maintain organized event inventory before and after each show.
    • Coordinate employee registrations, hotel room blocks, travel information, and event schedules.
    • Prepare detailed event plans so attending team members know where to be, what to bring, and what is expected.

    Pre-event marketing

    • Work with the Director of Marketing to develop marketing campaigns around major conferences.
    • Build pre-show email campaigns and outreach strategies.
    • Promote XTru's presence through email, social media, website content, and other channels.
    • Help identify attendees, prospects, customers, and partners we should meet.
    • Coordinate with sales to schedule demos and meetings before the event begins.
    • Develop booth promotions, giveaways, contests, or other creative strategies designed to increase traffic and engagement.

    On-site execution

    • Attend major XTru conferences and oversee on-site execution.
    • Manage booth setup and teardown.
    • Ensure booth appearance and branding meet XTru standards.
    • Make sure demo equipment, signage, promotional materials, and lead capture systems are working properly.
    • Coordinate schedules for employees working the booth.
    • Troubleshoot unexpected problems quickly and calmly.
    • Help create an energetic, professional, organized booth experience.

    Lead management & follow-up

    • Own the process for capturing conference leads accurately.
    • Ensure leads are properly categorized, tagged, and entered into the appropriate CRM or marketing system.
    • Coordinate immediate post-show follow-up campaigns.
    • Work with sales to ensure high-value leads receive prompt personal follow-up.
    • Track the progression of event-generated leads after each show.
    • Prevent valuable leads from disappearing into a spreadsheet after the conference ends.

    Event ROI & reporting

For every major event, help answer:

    • What did we spend?
    • How many leads did we generate?
    • How many were qualified?
    • How many meetings did we conduct?
    • How many opportunities were created?
    • How much pipeline or revenue resulted?
    • Should we attend again next year?
    • Prepare post-event reports and recommendations for the Director of Marketing and executive leadership.

    Customer & company events

In addition to trade shows, this position may help organize:

    • Customer user groups
    • XTru town halls
    • Training events
    • Partner events
    • Sales events
    • Customer dinners or receptions
    • Company-hosted conferences
    • Product launch events

    What we're looking for

    • Approximately 3–7+ years of experience in event marketing, trade shows, field marketing, conference management, hospitality events, or a similar role.
    • Experience managing multiple events simultaneously.
    • Extremely strong organizational and project-management skills.
    • Comfortable managing numerous deadlines, vendors, contracts, and details.
    • Strong written and verbal communication skills.
    • Experience working with sales and marketing teams.
    • Ability to work independently and take ownership of projects.
    • Comfortable traveling regularly.
    • Comfortable working occasional evenings or weekends when required for major events.
    • Strong judgment and the ability to solve problems quickly.
    • Ability to remain organized even when an event inevitably changes at the last minute.

    Preferred experience

Experience with any of the following is a plus:

    • B2B technology or SaaS companies
    • Museums, attractions, nonprofits, or hospitality organizations
    • Large trade shows and convention centers
    • Exhibitor services and booth logistics
    • CRM platforms
    • Email marketing platforms
    • Lead retrieval systems
    • Event management software
    • Corporate sponsorships
    • Webinar or virtual event platforms

    What success looks like

Within the first year, we expect this person to:

    • Create a centralized calendar and process for every XTru event.
    • Eliminate missed deadlines and last-minute event scrambling.
    • Improve the quality and consistency of XTru's conference presence.
    • Develop repeatable pre-show and post-show marketing processes.
    • Increase the number of meetings scheduled before major events.
    • Improve conference lead capture and follow-up.
    • Provide meaningful ROI reporting for major conferences.
    • Help XTru determine which events deserve greater investment — and which ones we should stop attending.

    Who will thrive here

This position is ideal for someone who loves making complicated events look easy.

You are the type of person who has the booth shipment tracked, the backup cables packed, the staff schedule distributed, the prospect dinner confirmed, the pre-show emails running, and the lead follow-up campaign already built before anyone else thinks to ask about them.

You pay attention to the details — but you also understand why we're attending the event in the first place.

The ultimate goal isn't to attend more conferences. It's to make the conferences we attend produce better results.

  • QA Tester / Software Tester

Help us ship reliable software for the zoos, museums, aquariums, gardens, and cultural attractions that depend on XTru every day. You'll execute test cases across our ticketing, membership, payments, and onsite tools, log clear, reproducible bugs, and partner with engineers to verify fixes before our customers ever see them.

    • Engineering
    • Full-time
    • Entry to Mid-level
    • San Antonio, TX or Remote (US)

    What you'll do

    • Execute manual test cases across XTruTicketing, XTruPass, XTruEngage, XTruInsight, and XTruLink for new features, fixes, and regression cycles.
    • Reproduce reported issues, capture environment details, screenshots, and logs, and file clean, prioritized bug reports for engineering.
    • Verify bug fixes and feature work against acceptance criteria before changes are released.
    • Test guest-facing checkout flows across modern browsers, iOS and Android devices, Apple Wallet, and Google Wallet.
    • Exercise staff-side workflows on iPad, handheld, and kiosk hardware used by front-of-house teams.
    • Help maintain and grow our library of regression test cases as the platform evolves.
    • Sanity check release candidates, hotfixes, and integration changes that affect partner systems like Blackbaud Altru and Raiser’s Edge.
    • Flag UX, accessibility, and content issues that hurt the visitor or staff experience, even when they aren’t strictly bugs.

    What we're looking for

    • Strong attention to detail and a knack for finding the edge case nobody else thought of.
    • Clear written communication — your bug reports should make a developer’s job easier, not harder.
    • Comfortable working through structured test plans and tracking your progress across many small tasks.
    • Familiarity with web applications, browser developer tools, and at least one issue tracker (Jira, Linear, GitHub Issues, etc.).
    • A customer mindset — you care about the staff and guests on the other end of the screen.

    Nice to have

    • Prior QA, support, or admissions/box office experience at an attraction, theater, or events organization.
    • Light scripting or SQL skills for spot-checking data.
    • Experience testing payment flows, point-of-sale hardware, or mobile wallet passes.
Apply for QA Tester / Software Tester Email a short intro and your resume to [email protected].
  • Technical Writer

Be the voice that helps nonprofit attraction teams get the most out of XTru. You'll own user guides, knowledgebase articles, and troubleshooting documentation that staff actually read — written in plain language for people running busy front desks, membership programs, and fundraising teams.

    • Customer Experience
    • Full-time
    • Mid-level
    • Remote (US)

    What you'll do

    • Plan, write, edit, and maintain user guides, how-to articles, and troubleshooting documentation across the XTru product suite.
    • Build out and curate our public knowledgebase at support.xtrulink.com, including search-friendly titles, clear structure, and consistent voice.
    • Partner with product managers and engineers to document new features as they ship and update existing articles when behavior changes.
    • Work with the support team to identify recurring tickets and turn them into self-serve articles.
    • Produce admin guides for system administrators, front-of-house staff guides for box office and admissions teams, and member-facing help content where needed.
    • Capture and edit screenshots, short walkthrough videos, and diagrams that make complex flows easier to follow.
    • Maintain and evolve our style guide, terminology, and content standards so XTru reads like one product, not five.
    • Help craft internal runbooks and onboarding documentation used by implementation and support teams.

    What we're looking for

    • 3+ years writing user-facing technical documentation for SaaS, nonprofit, or attraction-industry software.
    • Excellent writing and editing skills — you can take a tangled engineering explanation and turn it into a clear five-step guide.
    • Comfortable interviewing engineers, product managers, and support staff to get the details right.
    • Experience with a modern knowledgebase or documentation platform (Zendesk Guide, HelpDocs, Intercom, Notion, GitBook, Markdown-based docs, etc.).
    • Self-directed and able to manage a content backlog across multiple products and audiences.

    Nice to have

    • Background working with nonprofit ticketing, fundraising, CRM, or membership systems.
    • Light HTML/CSS, Markdown, or static site generator experience.
    • Comfort producing short screen-recorded videos or in-app walkthroughs.
Apply for Technical Writer Email a short intro and your resume to [email protected].
  • Data Migration & Conversion Specialist

Get new XTru customers off legacy systems and onto our platform with their history intact. You'll map, cleanse, and verify constituent, membership, ticketing, and transaction data so it lands in XTru exactly the way customers and downstream systems expect.

    • Implementation
    • Full-time
    • Mid-level
    • San Antonio, TX or Remote (US)

    What you'll do

    • Lead the data migration workstream for new XTru implementations, from discovery through cutover and post-go-live verification.
    • Map source data from systems like Blackbaud Altru, Raiser’s Edge, Tessitura, ACME, Galaxy, Vantix, Doubleknot, and homegrown databases into XTru’s data model.
    • Build, document, and refine repeatable conversion templates for constituents, households, memberships, ticket history, donations, events, and product catalogs.
    • Cleanse and de-duplicate records, normalize addresses and emails, reconcile financial totals, and resolve data quality issues with the customer.
    • Run test loads into staging environments, validate counts and balances, and produce migration scorecards for customers and the implementation team.
    • Coordinate cutover activities with onboarding specialists, engineering, and the customer’s IT and data teams.
    • Partner with the XTruLink team on mapping logic that keeps connected systems (Altru, Raiser’s Edge, GLs, marketing platforms) in sync after go-live.
    • Document migration runbooks and contribute back to internal tooling so the next conversion is faster than the last.

    What we're looking for

    • 3+ years in data migration, data conversion, ETL, or implementation engineering for SaaS or enterprise software.
    • Strong SQL skills and comfort working with CSV/Excel, JSON, and structured exports from third-party platforms.
    • Experience using a scripting language (Python, JavaScript, PowerShell, etc.) for transforming and validating large data sets.
    • A meticulous, evidence-based approach — reconciliation, row counts, and balance checks are second nature.
    • Excellent written communication: you can explain a mapping decision to a customer and document it in a runbook on the same day.

    Nice to have

    • Hands-on experience with Blackbaud Altru, Raiser’s Edge, Tessitura, ACME, or similar nonprofit/attraction systems.
    • Familiarity with PCI-aware data handling, PII, and donor data sensitivity.
    • Experience with workflow tools like Airbyte, Fivetran, dbt, or custom integration frameworks.
  • Client Onboarding Specialist

Own the customer journey from contract signature to confident go-live. You'll be the bridge between a customer’s legacy system and XTru — building project plans, coordinating internal teams, training staff, and making sure the first weeks of live operations feel smooth, not scary.

    • Customer Experience
    • Full-time
    • Mid to Senior
    • San Antonio, TX or Remote (US, with occasional travel)

    What you'll do

    • Serve as the primary point of contact for new XTru customers during onboarding, implementation, and the first weeks after go-live.
    • Lead kickoff meetings, define success criteria, and build clear project plans with milestones, owners, and dates.
    • Coordinate across data migration, integrations, product configuration, training, and support to keep implementations on track.
    • Translate customer business processes — admissions, memberships, donations, programs, events, retail — into XTru configuration decisions.
    • Configure or guide configuration of organizations, venues, products, memberships, payment processors, and reporting in XTru.
    • Plan and deliver training for box office, membership, development, marketing, and leadership staff, both remote and on site when needed.
    • Manage cutover plans and go-live weekends in partnership with engineering, data migration, and the customer’s operations team.
    • Hand projects cleanly to the customer success and support teams, documenting decisions, open items, and customer-specific quirks.
    • Capture customer feedback and feed product, support, and documentation gaps back into the team so we get better with every implementation.

    What we're looking for

    • 3+ years in customer onboarding, implementation, project management, or customer success for SaaS — ideally serving nonprofits, attractions, or arts and culture organizations.
    • Comfortable owning a project end-to-end with multiple internal and external stakeholders.
    • Strong facilitation and training skills — you can run a working session with a director of membership and a part-time admissions lead in the same hour and keep both engaged.
    • Excellent written communication, especially around scope, timelines, and risk.
    • Working knowledge of ticketing, membership, fundraising, or CRM workflows.

    Nice to have

    • Experience working with Blackbaud Altru, Raiser’s Edge, Tessitura, or similar systems on either the implementation or customer side.
    • Background in admissions, box office, membership, or development at a zoo, museum, aquarium, garden, or cultural attraction.
    • Familiarity with payment processors, GLs, and financial reconciliation as it relates to ticketing and membership.
Apply for Client Onboarding Specialist Email a short intro and your resume to [email protected].
